Terms and Conditions - Landscapers Vauxhall

Welcome to the Terms and Conditions for Landscapers Vauxhall. This page explains the rules, expectations, and responsibilities that apply when you use our landscaping services. By agreeing to any service from Landscapers Vauxhall, you accept these terms in full. They are designed to protect both the customer and the service provider, ensure clear communication, and create a professional working relationship from start to finish.

These terms cover important areas such as quotations, payments, cancellations, scheduling, project scope, materials, warranties, site access, and customer responsibilities. They also explain how changes to a project are handled and what happens if delays or unforeseen issues arise. Clear terms are essential for any landscaping work because outdoor projects often involve weather conditions, ground conditions, seasonal changes, and material availability.

Scope of Services

Landscapers Vauxhall provides a range of landscaping services that may include garden design, lawn installation, turfing, planting, hedge work, fencing, paving, patio installation, garden maintenance, and related outdoor improvement services. The exact services included in each job will be confirmed in the agreed quotation or written service description.

All work is carried out according to the agreed specification. If a customer requests additional tasks not included in the original scope, these may be treated as variation work and could require additional charges. Any extra work must be approved before it begins unless it is necessary for safety or to prevent damage to the site.

We aim to deliver high-quality landscaping solutions that are practical, attractive, and suitable for the customer’s outdoor space. However, natural materials and environmental factors may affect the final appearance and long-term performance of some installations.

Quotations and Pricing

All quotations provided by Landscapers Vauxhall are based on the information available at the time of the estimate. Prices may depend on site conditions, labour requirements, access to the property, material availability, and the complexity of the requested work. Unless stated otherwise, quotations are valid for a limited period and may be withdrawn or revised after that period expires.

Prices are normally based on the agreed scope of work and do not include additional tasks that were not discussed beforehand. If hidden issues are found during the project, such as poor soil conditions, drainage problems, underground obstructions, or unstable surfaces, the cost may need to be reviewed.

We reserve the right to update pricing where a customer changes the original plan, delays the work for a long period, or requests materials or finishes that differ from the original estimate. Any revised costs will be communicated before continuing with the new work.

Deposits and Payments

For some projects, a deposit may be required before work is scheduled or materials are ordered. The amount of any deposit will be confirmed in advance. Deposits are used to reserve time in the schedule and cover initial expenses such as materials, transport, and planning.

Payment terms may vary depending on the size and type of project. Some smaller jobs may require payment on completion, while larger projects may be split into staged payments. Customers must make payments on the agreed dates and in the agreed manner. Failure to pay on time may result in suspension of work, delays, or recovery action where necessary.

Unless otherwise stated, all invoices must be paid in full once the work has been completed. Any dispute relating to a payment should be raised promptly so that it can be reviewed and resolved fairly. Late payments may be subject to additional charges where permitted by law.

Scheduling and Project Timelines

Project dates are arranged based on availability, weather conditions, and the nature of the work. While every effort is made to start and finish work on time, landscaping projects are often affected by rainfall, frost, high winds, supply delays, or other factors outside our control.

Estimated timelines are not guarantees unless a fixed completion date has been confirmed in writing. If a delay occurs due to weather, access issues, unavailable materials, or unexpected site conditions, the schedule may be adjusted. Customers will be informed as soon as practical if the planned schedule changes.

Customers are expected to ensure that the site is ready when work begins. If a project is delayed because the site was not prepared, or because access is unavailable, the booking may need to be rescheduled. Additional charges may apply if staff or materials are delayed through no fault of the company.

Customer Responsibilities

Customers play an important role in the success of any landscaping project. Before work begins, the customer should provide accurate information about the property, including any known restrictions, underground services, shared boundaries, or special requirements. It is the customer’s responsibility to ensure that any pets, vehicles, children, or personal belongings do not interfere with the work area.

Customers must also obtain any permissions, consents, or approvals that are their responsibility before work starts. This may include permission from a landlord, managing agent, freeholder, neighbour, or local authority where applicable. Landscapers Vauxhall is not responsible for delays caused by missing permissions or incorrect information supplied by the customer.

The customer should keep the work area clear and safe during the project. If rubbish, obstacles, or locked access prevent the work from being completed efficiently, extra time or costs may be required.

Materials and Product Variations

Natural landscaping materials such as stone, wood, turf, bark, plants, and soil can vary in colour, texture, size, and appearance. These variations are normal and should be expected. Samples, images, or descriptions are provided as a general indication only and may not exactly match the final material delivered to site.

Plants and living materials are subject to seasonal and environmental variation. Their appearance may change after planting due to weather, soil conditions, and maintenance. Turf and planting projects may require time to establish and may not look fully mature immediately after installation.

If a specific brand, supplier, or product becomes unavailable, we may offer a suitable alternative of equal or similar quality. Any substitution will be discussed where practical before installation.

Changes to the Original Work

Sometimes a customer may decide to alter the project after work has started. Changes to layout, materials, design features, dimensions, or finishing details may affect the cost and completion time. Any requested changes should be discussed as early as possible.

Variation work may require a revised quotation. If the customer asks for extra tasks or amended specifications, the company may pause work until the new cost and timeline are agreed. Work will normally continue only after approval is given.

If a change is needed because of a site issue discovered during the project, we will explain the problem and outline possible solutions. This helps ensure that the customer can make an informed decision before additional work proceeds.

Site Conditions and Hidden Issues

Outdoor spaces can contain hidden conditions that are not visible during the initial quotation. These may include poor drainage, uneven ground, buried debris, old foundations, tree roots, damaged services, contaminated soil, or structural weaknesses. Such conditions can make landscaping work more difficult or require additional labour and materials.

We will aim to identify concerns as early as possible, but some issues only become visible once work begins. Where hidden defects are found, the project may need to be adapted to ensure a safe and durable result.

Landscapers Vauxhall is not responsible for pre-existing defects in the property, nor for problems caused by conditions that were impossible to detect at the time of quotation unless otherwise agreed in writing.

Access to the Property

To complete the work efficiently, reasonable access must be provided to the site. This includes access for workers, tools, equipment, and delivery vehicles where necessary. The customer must inform us in advance of any restrictions such as narrow entrances, parking limitations, gated access, or time-limited entry.

If access is blocked or limited in a way that was not disclosed before the job started, the work may take longer or incur extra costs. Delays caused by restricted access are not the responsibility of Landscapers Vauxhall if they were outside our control.

Where keys, codes, or special instructions are needed for access, these must be arranged in a secure and timely manner. Any access arrangements will be handled with reasonable care.

Health, Safety, and Working Conditions

Health and safety are a priority on every project. Our team will work responsibly, use suitable equipment, and follow safe working practices. Customers should not enter hazardous areas while work is in progress and should keep children and pets away from the site.

If dangerous conditions are identified, work may be paused until the hazard is removed or made safe. This may include unstable surfaces, exposed wiring, sharp objects, unsafe structures, or severe weather. We reserve the right to stop work if conditions are unsafe.

Customers should notify us of any known risks on the property before work begins. This includes underground utilities, asbestos, fragile structures, or any other condition that could affect the safety of the project.

Waste Removal and Site Cleanliness

Where agreed, waste and garden debris may be removed as part of the service. However, the exact level of clearance or disposal included will depend on the quotation. Unless specifically stated, customers should not assume that all waste removal is included.

We aim to leave work areas tidy at the end of each project stage and after completion. Some projects may naturally involve dust, soil, offcuts, or temporary disturbance while work is ongoing. Final site cleanliness depends on the nature of the task and the materials being used.

If the customer requests extra clearance, removal of large quantities of waste, or disposal of items not included in the original agreement, this may be charged separately.

Warranties and Guarantees

Any warranty or guarantee offered by Landscapers Vauxhall will be clearly stated in writing and will apply only to the specific work or materials covered. Unless stated otherwise, guarantees do not apply to natural wear and tear, misuse, lack of maintenance, weather damage, accidental damage, or changes caused by ground movement or environmental conditions.

Living materials such as plants, turf, and seeds are not guaranteed to remain unchanged because they depend on aftercare, watering, sunlight, drainage, and seasonal conditions. The customer is responsible for proper maintenance after installation unless maintenance has been included as part of an agreed service plan.

If a defect arises and is covered by a warranty, the customer must notify us within a reasonable time so that the issue can be assessed. Any remedy offered will depend on the specific circumstances and the terms of the warranty.

Aftercare and Maintenance

Many landscaping installations require ongoing care to achieve the best long-term results. Newly laid turf, planted beds, wooden structures, and hard landscaping features may all need routine attention. The customer should follow any aftercare advice provided at completion.

Failure to maintain the work properly may affect performance and appearance. This includes incorrect watering, mowing too soon, lack of cleaning, neglect of drainage, or exposure to damage. If maintenance is not carried out, any guarantee may be reduced or voided where relevant.

If the customer wishes to arrange ongoing maintenance, this should be discussed separately and confirmed as a distinct service with its own terms if needed.

Cancellation and Rescheduling

If a customer needs to cancel or reschedule a booking, they should do so as early as possible. Cancellations made shortly before the planned start date may result in charges if materials have already been ordered, labour has been scheduled, or other costs have been incurred.

Where a booking is cancelled after preparation has begun, reasonable costs may still apply. These costs may include design time, ordering fees, delivery charges, or labour already carried out. For larger projects, deposits may be non-refundable if clearly stated at the time of booking.

If the company must reschedule due to weather, safety, supply issues, or other operational reasons, a new date will be arranged as soon as possible. We will always aim to minimise inconvenience.

Liability and Limitations

Landscapers Vauxhall will carry out work with reasonable skill and care. However, liability may be limited where losses arise from circumstances outside our control, including extreme weather, third-party actions, site defects, or inaccurate information supplied by the customer.

We are not liable for indirect losses, loss of use, or damage caused by events that could not reasonably have been prevented. Nothing in these terms limits liability where such limitation would not be allowed by law.

It is important that customers inspect completed work promptly and raise concerns within a reasonable time. Early notification helps us assess issues and, where appropriate, correct them efficiently.

Intellectual Property and Design Material

Where design concepts, sketches, layouts, or written plans are created as part of a project, these materials remain the property of Landscapers Vauxhall unless otherwise agreed. Customers may use the final installed work for personal enjoyment on their property, but they may not reproduce professional design materials for commercial use without permission.

If a customer chooses not to proceed with a proposed design, any associated design work may still be chargeable according to the agreed terms. Original planning and creative work has value and may require time and expertise even if the project is not ultimately completed.

Changes to These Terms

These terms may be updated from time to time to reflect changes in services, legal requirements, or business practices. The version in effect at the time of booking will normally apply to that project unless a new version has been explicitly accepted.

Customers are encouraged to review the terms before confirming any booking. Continued use of services after updates may indicate acceptance of the revised terms where relevant.

General Agreement

By choosing Landscapers Vauxhall, the customer confirms that they have read, understood, and agreed to these Terms and Conditions. These terms are intended to create fairness, transparency, and clear expectations for every landscaping project. They help ensure that each service is delivered professionally and that both sides understand their responsibilities.

If any part of these terms is found to be invalid or unenforceable, the remaining sections will continue to apply. This helps preserve the overall agreement while allowing specific issues to be addressed under applicable law.

Good landscaping depends on planning, communication, and realistic expectations. These Terms and Conditions support that process by setting a clear framework for quotations, work schedules, payment, site access, and final outcomes. By following them, customers and Landscapers Vauxhall can work together effectively to achieve high-quality results for outdoor spaces of all sizes.
